RentFlow

Rental management software for Kenyan landlords and their tenants.

The problem

Most small and mid-sized landlords in Kenya run their portfolio out of a notebook, a spreadsheet and a phone. Rent arrives as scattered M-Pesa messages that have to be matched to tenants by hand. Water readings are written down and re-typed into invoices. Nobody is sure which leases expire this quarter, which tenants are behind, or what a property actually cost to run last year. Tenants, for their part, have no record of what they have paid and no reliable way to report a broken pipe.

RentFlow puts all of it in one place: who lives where, what they owe, what they paid, what broke, and what it cost.


What a landlord can do

See the portfolio at a glance

  • Dashboard with total properties, occupancy rate, this month's revenue and how it compares to last month, overdue payments, open maintenance requests and this month's expenses
  • Six-month chart of expected versus collected rent, with a collection rate
  • Alerts for every active lease expiring in the next 60 days, flagged more urgently inside 14 days
  • A monthly admin checklist that resets each month: leases running, utility bills issued, expenses recorded, no rent overdue
  • A short setup checklist when starting out, which disappears once the first lease is created

Properties and units

  • Add properties with name, address, city and type
  • Add units with unit number, type (studio through four-bed, penthouse, commercial), rent and deposit
  • Mark units vacant, occupied or under maintenance
  • Deletion is blocked while a property still has active leases, so records stay intact

Leases

  • Create a lease against a unit and a tenant, with start and end dates, rent and deposit
  • The tenant is invited automatically and emailed their sign-in details and a copy of the lease
  • The full schedule of monthly rent payments is created with the lease
  • One lease page showing status, term, both parties' contact details, the payment schedule and maintenance history
  • Terminate a lease and the unit returns to vacant

Rent collection

  • Every payment listed with tenant, property and unit, due date, paid date and status
  • Filter by pending, paid, late, partial or waived
  • Running totals for collected, outstanding and overdue
  • Tenants can pay with M-Pesa; confirmed payments are marked paid without manual entry
  • Record cash or bank payments by hand, with notes and a date override
  • Send a payment reminder to a tenant in one click
  • Printable rent invoice for any payment
  • Payments still pending past their due date are flagged late automatically

Utility billing

  • Create a water or utility bill from previous and current meter readings, a rate per unit of consumption and an optional fixed charge; the total is worked out for you
  • List of all bills by unit and month with consumption, total and status
  • Mark bills paid
  • Print a clean invoice, or email the bill straight to the tenant

Expenses

  • Log spending against a property: repairs, maintenance, service charge, insurance, management fees, utilities and other
  • Filter to a single property to see what it really costs
  • This-month and all-time totals, carried through to the dashboard

Maintenance

  • Every tenant request in one list, filterable by status and priority
  • Open a request to see the full description and tenant details
  • Move it through in progress, resolved and closed, and write a response the tenant can read

Account and notifications

  • Notifications for new leases, expiring leases, rent due, payments received and maintenance activity, with an unread count
  • Edit your name and phone number, change your password, reset it by email if you forget it
  • Dark mode, and a layout that works on a phone

What a tenant can do

  • See lease status and end date, the next payment due with a countdown, and open maintenance requests
  • View the lease in full: property, unit, monthly rent, deposit, term and landlord contact
  • Pay rent with M-Pesa from the payment row and get an immediate confirmation
  • Review personal payment history and print a receipt or invoice
  • See every utility bill issued to their unit and print it
  • Submit a maintenance request with a title, description, category and priority, then track its status and read the landlord's reply

The source code is private. RentFlow is a commercial product. Implementation detail can be walked through on request in an interview.
