PROPOSAL:

QA Steps

// TODO: These must be filled out, or the issue title must include "[No QA]."

  • Verify that no errors appear in the JS console

PR Author Checklist

  • I linked the correct issue in the ### Fixed Issues section above
  • I wrote clear testing steps that cover the changes made in this PR
    • I added steps for local testing in the Tests section
    • I added steps for the expected offline behavior in the Offline steps section
    • I added steps for Staging and/or Production testing in the QA steps section
    • I added steps to cover failure scenarios (i.e. verify an input displays the correct error message if the entered data is not correct)
    • I turned off my network connection and tested it while offline to ensure it matches the expected behavior (i.e. verify the default avatar icon is displayed if app is offline)
    • I tested this PR with a High Traffic account against the staging or production API to ensure there are no regressions (e.g. long loading states that impact usability).
  • I included screenshots or videos for tests on all platforms
  • I ran the tests on all platforms & verified they passed on:
    • Android: Native
    • Android: mWeb Chrome
    • iOS: Native
    • iOS: mWeb Safari
    • MacOS: Chrome / Safari
  • I verified there are no console errors (if there's a console error not related to the PR, report it or open an issue for it to be fixed)
  • I verified there are no new alerts related to the canBeMissing param for useOnyx
  • I followed proper code patterns (see Reviewing the code)
    • I verified that any callback methods that were added or modified are named for what the method does and never what callback they handle (i.e. toggleReport and not onIconClick)
    • I verified that comments were added to code that is not self explanatory
    • I verified that any new or modified comments were clear, correct English, and explained "why" the code was doing something instead of only explaining "what" the code was doing.
    • I verified any copy / text shown in the product is localized by adding it to src/languages/* files and using the translation method
      • If any non-english text was added/modified, I used JaimeGPT to get English > Spanish translation. I then posted it in #expensify-open-source and it was approved by an internal Expensify engineer. Link to Slack message:
    • I verified all numbers, amounts, dates and phone numbers shown in the product are using the localization methods
    • I verified any copy / text that was added to the app is grammatically correct in English. It adheres to proper capitalization guidelines (note: only the first word of header/labels should be capitalized), and is either coming verbatim from figma or has been approved by marketing (in order to get marketing approval, ask the Bug Zero team member to add the Waiting for copy label to the issue)
    • I verified proper file naming conventions were followed for any new files or renamed files. All non-platform specific files are named after what they export and are not named "index.js". All platform-specific files are named for the platform the code supports as outlined in the README.
    • I verified the JSDocs style guidelines (in STYLE.md) were followed
  • If a new code pattern is added I verified it was agreed to be used by multiple Expensify engineers
  • I followed the guidelines as stated in the Review Guidelines
  • I tested other components that can be impacted by my changes (i.e. if the PR modifies a shared library or component like Avatar, I verified the components using Avatar are working as expected)
  • I verified all code is DRY (the PR doesn't include any logic written more than once, with the exception of tests)
  • I verified any variables that can be defined as constants (ie. in CONST.ts or at the top of the file that uses the constant) are defined as such
  • I verified that if a function's arguments changed that all usages have also been updated correctly
  • If any new file was added I verified that:
    • The file has a description of what it does and/or why is needed at the top of the file if the code is not self explanatory
  • If a new CSS style is added I verified that:
    • A similar style doesn't already exist
    • The style can't be created with an existing StyleUtils function (i.e. StyleUtils.getBackgroundAndBorderStyle(theme.componentBG))
  • If new assets were added or existing ones were modified, I verified that:
    • The assets are optimized and compressed (for SVG files, run npm run compress-svg)
    • The assets load correctly across all supported platforms.
  • If the PR modifies code that runs when editing or sending messages, I tested and verified there is no unexpected behavior for all supported markdown - URLs, single line code, code blocks, quotes, headings, bold, strikethrough, and italic.
  • If the PR modifies a generic component, I tested and verified that those changes do not break usages of that component in the rest of the App (i.e. if a shared library or component like Avatar is modified, I verified that Avatar is working as expected in all cases)
  • If the PR modifies a component related to any of the existing Storybook stories, I tested and verified all stories for that component are still working as expected.
  • If the PR modifies a component or page that can be accessed by a direct deeplink, I verified that the code functions as expected when the deeplink is used - from a logged in and logged out account.
  • If the PR modifies the UI (e.g. new buttons, new UI components, changing the padding/spacing/sizing, moving components, etc) or modifies the form input styles:
    • I verified that all the inputs inside a form are aligned with each other.
    • I added Design label and/or tagged @Expensify/design so the design team can review the changes.
  • If a new page is added, I verified it's using the ScrollView component to make it scrollable when more elements are added to the page.
  • I added unit tests for any new feature or bug fix in this PR to help automatically prevent regressions in this user flow.
  • If the main branch was merged into this PR after a review, I tested again and verified the outcome was still expected according to the Test steps.

Terminology violation: Use "workspace" instead of "Workspace" in this context. The term should be lowercase when referring to the concept generically, not as a UI label.

## Corporate Karma

Corporate Karma is for companies that want to engage in social responsibility. Each month, the donation is calculated based on the total amount of all approved expense reports, including invoices, across all Workspace.

This article explains **how Expensify plans and pricing work**, so you can choose the plan that best fits your team and understand how billing is calculated. Pricing, eligibility rules, and billing logic are consistent across platforms, even though pricing may be displayed differently in New Expensify and Expensify Classic.

HelpDot Documentation Review

Overall Assessment

This PR introduces a new consolidated billing hub with 17 new documentation articles covering subscription management, billing ownership, plans and pricing, and other billing scenarios. The documentation demonstrates strong AI readiness with excellent metadata structure, though there are several areas requiring attention before merge.

Scores Summary

  • Readability: 7.5/10 - Clear language and logical flow, but inconsistent capitalization, missing links, and some grammatical issues reduce clarity
  • AI Readiness: 9/10 - Excellent metadata with descriptive titles, comprehensive keywords, and proper YAML structure with internalScope fields
  • Style Compliance: 6.5/10 - Mixed compliance with terminology inconsistencies ("workspace" vs "Workspace", "Expensify Classic" vs inconsistent platform naming) and formatting issues

Key Findings

Strengths:

  • Excellent AI retrieval optimization with detailed keyword targeting and internalScope metadata
  • Comprehensive coverage of billing workflows across both platforms (New Expensify and Expensify Classic)
  • Well-structured FAQ sections that anticipate user questions
  • Clean heading hierarchy using # and ## only
  • Strong use of task-oriented headings ("How to...", "What...", "When...")

Critical Issues:

  • Broken internal links: Multiple articles reference placeholder links like [LINK], (#), or incomplete URLs like help.expensify.com]
  • Capitalization inconsistencies: Inconsistent use of "Workspace" vs "workspace", "Workspace Admin" vs "workspace admin", "Billing Owner" vs "billing owner"
  • Platform name inconsistencies: "New Expensify" vs "new Expensify", lack of consistent reference to "Expensify Classic"
  • Incomplete YAML frontmatter: Some articles have blank leading lines before YAML opening ---
  • Missing screenshots: Several articles include placeholder text "ADD A SCREENSHOT HERE" without images
  • Terminology issues: Inconsistent use of terms like "billing owner" (should always be lowercase per Expensify style)

Moderate Issues:

  • Some articles lack clear breadcrumb context in descriptions
  • Retrieval scorecard comments are helpful but should potentially be removed before merge
  • Some FAQ answers could be more concise
  • Navigation path instructions could benefit from consistent formatting

Recommendations

Priority 1 (Must Fix Before Merge):

  1. Replace all placeholder links ([LINK], (#), broken URLs) with actual working links
  2. Standardize capitalization: Use "workspace" (lowercase), "Workspace Admin" (title case for role), "billing owner" (lowercase)
  3. Fix YAML frontmatter formatting - remove blank lines before opening ---
  4. Ensure consistent platform naming: "New Expensify" and "Expensify Classic" throughout
  5. Fix broken link in What-Billing-Ownership-Means-in-Expensify.md: help.expensify.com] should be full URL with proper markdown

Priority 2 (Should Fix):

  1. Add actual screenshots or remove "ADD A SCREENSHOT HERE" placeholder text
  2. Decide whether to keep or remove retrieval scorecard comments in file headers
  3. Ensure all articles use consistent navigation path formatting (bold vs regular text)
  4. Review and tighten FAQ answers for conciseness

Priority 3 (Nice to Have):

  1. Add cross-references between related articles beyond just placeholders
  2. Consider adding a "Related Articles" section at the bottom of each article
  3. Ensure consistent tone throughout (some articles are more formal than others)

Files Reviewed

Subscription Management (4 files):

  • How-to-Manage-Subscriptions-and-Billing-in-New-Expensify.md - Strong AI readiness (9.3/10), needs link fixes
  • How-to-Manage-Billing-and-Subscriptions-in-Expensify-Classic.md - Similar structure, needs review
  • Managing-subscriptions-in-Expensify.md - Good conceptual article
  • Deleting-workspaces-in-Expensify.md - Clear deletion workflow coverage

Subscription Setup & Billing Ownership (5 files):

  • What-Billing-Ownership-Means-in-Expensify.md - Strong concept article, has broken link
  • How-to-Manage-Your-Subscription-in-Expensify-Classic.md - Needs review
  • How-to-manage-your-subscription-in-New-Expensify.md - Note filename capitalization inconsistency
  • How-to-read-your-Expensify-billing-receipt.md - Comprehensive breakdown, well-structured
  • Expensify-Subscription-Overview.md - Needs review

Plans and Pricing (5 files):

  • expensify_plan_overview.md - Good comparison format, needs screenshot
  • expensify_plan_pricing.md - Comprehensive pricing details, needs screenshot
  • Expensify-Plans-Comparison.md - Note filename inconsistency (compare to lowercase versions)
  • expensify_card_pricing_benefits.md - Needs review
  • expensify_legacy_pricing.md - Needs review

Other Billing Scenarios (3 files):

  • Understanding-Out-of-Date-Billing-in-Expensify.md - Clear problem-solution format
  • Personal-and-Corporate-Karma.md - Good explanation with screenshots referenced
  • Tax-Exempt.md - Brief but clear instructions

Infrastructure Files:

  • createDocsRoutes.ts - Properly adds consolidated platform support
  • _routes.yml - Configuration looks correct
  • Hub templates (hub.html, lhn-template.html) - Improved null handling and formatting

Summary

This is a substantial documentation effort with strong AI optimization. The content is comprehensive and well-organized, but requires fixes to broken links, capitalization, and placeholder content before it can be merged. Once these issues are addressed, this will be a valuable addition to the HelpDot documentation.

Note: Detailed line-by-line feedback can be provided as inline comments if needed.

The createDocsRoutes.ts script auto-generates section entries from the filesystem and adds them to existing sections in _routes.yml, causing duplicates. Removed the manual section definitions from the consolidated billing hub to allow the script to generate them automatically.

Fixed the following CI failures that were related to this PR:

Prettier check — Ran prettier on .github/scripts/createDocsRoutes.ts, scripts/add-platform-frontmatter.ts, and scripts/remove-platform-frontmatter.ts to fix formatting (including indentation issues in createDocsRoutes.ts).

Spellcheck — Added frontmatter, cancelation, and recordkeeping to cspell.json.

Typecheck ("Found new JavaScript files") — Converted scripts/add-platform-frontmatter.js and scripts/remove-platform-frontmatter.js to TypeScript (.ts) with proper import syntax and type annotations.

The remaining failing checks are unrelated to this PR:

  • ESLint check — All 314 warnings are in files not touched by this PR (e.g., WorkspaceCompanyCardDetailsPage.tsx, WorkspaceOwnerChangeCheck.tsx, WorkspacePerDiemPage.tsx, etc.). These are pre-existing react-hooks/refs and react-hooks/set-state-in-effect warnings that the latest ESLint config has promoted to errors.
  • test (job 8)tests/ui/SessionTest.tsx timed out (120s) on the "Deep linking" test suite. This is a known flaky test, not related to docs/scripts changes.
